Joining and leaving the organisation
People joining or leaving the organisation must be onboarded and later offboarded. Both processes require actions both from the person being onboarded or offboarded as well as from an organisation admin.
Onboarding process
Starting a new role at an organisation, either as a volunteer or in a paid role, is always exciting. To make sure people start well prepared, each new person gets an onboarding issue in GitLab with information about the organisation, their role, important links and tasks they need to do to get started.
To welcome people onboard, there is a welcome email template. Use that template to sent an email to the private email address of the person being onboarded. Sent this email a couple of working days before the start date.
Tasks for onboarding:
- Create an onboarding issue on the employment board. Use the onboarding description template.
- Send a welcome email based on the template above. NOTE change the issue link for the onboarding issue in the email template before sending!!!
- Create a Google account for the new colleague
- Invite to Slack with the new Google account
- Invite to any other app that it may require access to.
Offboarding process
During offboarding, ask the person leaving if they want to write a small text on their experience working from home. Provide them with the following questions as a guideline for the text:
- What is your home situation like? Are you living alone, with family, with others, etc?
- Why did you decide to pick a remote assignment in the first place?
- What were your expectations upfront?
- How did you experience working fully remote in the end?
- What did you like about working from home and why?
- What were your biggest challenges and why?
- What are some tips to give to other people when working from home?
- Any other thoughts you may want to share.
Tasks for offboarding:
- Create an offboarding issue max. a week before contract end on the employment board. Use the offboarding description template.
- Send a message either on Slack or via personal email to ask for feedback on remote work.
